Migrate Loraine Lab Google Drive files/folders to Shared Drive

      Description

      Situation: Files and folders created by students in the Google Drive are removed after they graduate.

      Task: Migrate all of the Loraine Lab files/folders we have created to a newly created Google Shared Drive (research-big-lorainelab) that will persist.

          One of the main project folders that needs to be migrated to the new shared drive is the IGB Project Documentation and Plans folder. However, there are several files in that project folder that are preventing me from migrating everything because they were created with an "@gmail.com" email. See attached for a list of those files.

          There are several ways forward:

          1. Move those files to the new Shared Drive in a temp folder there. Then, migrate the whole project folder over and sort the files back in.
          2. Create a copy of those files such that they now have an owner with an "@charlotte.edu" email. Then, delete the original files and continue with the migration.
          3. If a copy can't be created, download these files onto your computer and delete the originals from Google Drive. Then, complete the migration and upload the files from your computer back into the project folder.

          I decided to move forward with option #3. I downloaded the blocker file and folders to my computer, deleted them off of Google Drive, successfully migrated the IGB Project Documentation and Plans folder to the new shared drive, and re-uploaded the blocker file/folders.

          Note: There were data files being stored in Google Drive that I have since moved to Dropbox.

          • Dropbox location (CURRENT): IGB > Jira Issues > IGBF-1173

          I've also moved the remaining folders in the IGB Jira Issues folder to Dropbox.

          Tasks for the reviewer:
          1. I identified several empty folders while migrating our project folder to the shared drive. Navigate to research-big-lorainelab > IGB Project Documentation and Plans, then please work through the following list and either populate them or delete these empty folders if they serve no purpose anymore:

          • IGB Genomes
          • Quickload Automation > API Documentation
          • Contacting Users > 2019 Letters > 2 - 2019 Contact Letters - In Progress
          • Contacting Users > 2019 Letters > 4 - 2019 Contact Letters - Ready to Send
          • Contacting Users > 2020 Letters > 1 - 2020 Contact Letters - Starter
          • Contacting Users > 2020 Letters > 4 - 2020 Contact Letters - Ready to Send
          • SaltyRice > Manuscript > Figures

          2. Navigate to research-big-lorainelab > IGB Project Documentation and Plans folder, then confirm that you can access the following file and folders that had to be re-uploaded to Google Drive:

          • "What Is the Cost of Living Online.pptx" (Question: Can this be moved to a more suitable folder?)
          • IGB Java Upgrade
          • Research Code of Conduct
          • CyVerse Integration > Archive > Developer Environment Setup
          • CyVerse Integration > notes
          • CyVerse Integration > PostMan Collection
          • CyVerse Integration > User Perspective

          3. Please note on this ticket any folders still remaining in the IGB Project Documentation and Plans folder not on the shared drive, then identify any other project folders that still need to be moved to the shared drive.

          Checked the IGB Project Documentation and as far as I can tell all of the folders are present (minus the Jira Issues folder which is now in Dropbox). Most of the links from Jira still appear to be functional. I was able to see the re-uploaded folders Paige mentioned in her comment. I don't think we need to get rid of the empty folders for now.

          I moved any other folders that I could find in Google Drive. There was one folder I could not move, and two I had to download and upload in order to move them (see below).

          1. 2019-CZI-Essential-OSS-for-Science - I cannot move the entire thing, but Dr. Loraine is the owner of all of the files, so it can probably stay where it is
          2. SR45a-CRISPR-Cas - I downloaded and uploaded to shared drive
          3. Lab Notebooks - I downloaded and uploaded to shared drive

          I think the remaining task will be for Dr. Loraine to double-check any folders she has access to that are not in the new Shared Drive.

          UPDATE - We have gone through Google Drive with Dr. Loraine and it appears that all of the relevant folders have been migrated. Nowlan will do one final check before closing this ticket.

          UPDATE - Nowlan has gone through his personal Google Drive and migrated any remaining files he could find. Closing ticket.
